- Transcript: A new field “Proof of Completion” has been added to allow User’s to upload a file related to their external credit or experience. “Apply towards Certification” checkbox also allows the User to submit the experience and apply it to a Certification requirement or elective, assuming the Administrator of the Certification is allowing external experiences to count as credit towards the Certification.
Under Transcripts and Certifications, a new function was added that allows end users to add and upload supporting documentation related to externally earned credit. Users working on Certification or Re-Certification will be able to submit a request that the externally earned credit be applied towards Certification requirements or as an elective credit.
- Certifications: A new button called “Fulfillments” has been added to Certifications when the optional “external fulfillments” has been activated. When the User clicks on “Fulfillments” button, it opens a page that displays all of their externally earned credits, filtered by Certification as well as another button to “Add New Experience”.
Once the User submits their experience, the Administrator is notified via email that a User has submitted an experience/credit and is ready for review. The Administrator then reviews the submission and supporting documentation to determine if it meets the requirements. The Admin will have the option to “accept” or “reject” the request for credit and add comments for the User. An email will be sent to the User after the Admin has reviewed their request.
Admin Settings
A new checkbox has been added to the Certifications “basic” setup page called “Allow External Fulfillment”
- Admins will set this to “YES” if they accept external credits and experiences as a substitute for any Certification requirement or elective.
- If set to “Yes”, the Admin will see an option to check which requirement and/or elective is eligible to be replaced with an external credit or experience.
- If the “Allow External Fulfillment” box is checked but nothing is checked under “allow external fulfillments”, then by default, ALL electives will be eligible to be substituted for an external credit/experience. Once a User has submitted a request for fulfillment, the Admin will receive a notification email. The Admin may click a link within the email to be connected to Elevate or simply login to Elevate as an Admin, go to “Certifications” and look for the blue “External Fulfillments” icon as shown here:
- When the Admin clicks on the blue “External Fulfillments” icon, it will open the external fulfillments management page, listing all of the User submitted fulfillment requests.
- Under the Actions column, click on the blue “review” icon and the User request form will open for your review. Here, the Admin will be able to review the Users supporting files, accept or reject the fulfillment request as well as make comments for the end User to review. The status, as well as the Admin comments, will then be sent to the User via email once the “save” button is clicked.
